Communication tips for Treasurers

Good communication is the difference between a circle that completes every cycle and a circle that falls apart. Here are the principles that experienced Treasurers follow. Be proactive, not reactive. Do not wait for problems. A quick message after each payout day — "All contributions confirmed this week, thank you everyone" — reinforces the group's success and makes members feel seen. Private for problems, public for praise. If a member is late, message them directly. If the circle had a clean week, celebrate in the group. Never call out a member publicly for a late or missed payment. Lead with empathy. "Is everything alright?" before "When are you paying?" Every time. Members are people with lives outside the circle. A late payment often has nothing to do with the circle and everything to do with something else going on. Be consistent. If your rule is to follow up on day 2 of a late payment, follow up on day 2 every time, for every member. Inconsistency breeds the perception of favouritism. Document everything. Note every communication on the platform. "Called Shanice on 14 March re late payment. She said bank transfer delayed, will arrive by Thursday. Confirmed Thursday." This protects you, the member, and the circle. Use Circa for the operational stuff. Circa can handle "when is my next payout?" and "what is my contribution amount?" at 2am. Save your personal communication for the moments that need a human touch.
