What to do when a member is late

A contribution is "late" when it has not been confirmed by the due date. Late is not the same as missed. The member may have paid but you have not confirmed yet, or their bank transfer is still processing. Step 1: Check first. Has the payment actually not arrived, or is the confirmation delayed on your end? Look at the circle account before assuming a default. Step 2: Communicate privately. Message the member directly — not in the group chat. "I noticed your contribution has not come through yet — is everything alright?" is the right tone. "You are late. When are you paying?" is not. Step 3: Be human. Being late on a pardna feels personal. It is not just a financial miss — it feels like letting down your community. Your tone matters more than you think. Step 4: Give a reasonable window. If the member says "I will pay by Wednesday," accept that. Mark it as pending and follow up on Wednesday. Step 5: Document everything. Note on the platform that you reached out, when, and what the member said. This documentation matters if the situation escalates later. The platform sends automated reminders (3 days before, 1 day before, on the day, 1 day after). These help, but your personal contact is always warmer and more effective. Most late payments have simple explanations — a forgotten transfer, a processing delay, a tight week. Handle them with grace.
